Coventry Group is responsible for financial administration for the Association and for the administration and maintenance of the common areas and facilities of the community.

Homeowner Assessment Fees

The annual assessment fee for the Association is $996.00 payable in monthly installments of $78.00 through June 2023, and $88.00 starting in July 2023. Assessments are due the first of each month. Coupon booklets will be sent to each homeowner in December. There are several flexible payment options here including automatic withdrawal from your checking account, credit card payments and paying by check. Additionally, you can set up a different payment plan that works best with your finances. Please call our office to discuss your options.

Payments not received by the due date will be subject to finance charges and enforcement procedures of the Association which can include placing a lien on the home or seeking a personal judgment for the amount owed.

Home Modifications

Changes to the exterior of your home or lot must be approved in advance by the homeowners association board.  Homeowners are advised to review the Association’s Design Guidelines prior to submitting an application. Also, please submit applications well in advance of any planned improvements in order to allow adequate time for review.

IMPORTANT Information about fence and deck staining:  The ONLY approved color the BEHR – CEDAR NATURAL TONE STAIN SEMI-TRANSPARENT STAIN.  Please note this when doing any staining of a deck or fence in the community. If you have any questions regarding this please contact your Community Manager before you begin your project.

VIOLATION COMPLAINTS

The HOA is committed to responding to resident concerns and want to improve this process for both the community and the Board. All community complaints that require HOA follow-up and / or expect to be discussed during HOA meeting open forums need to be in writing via the following form and submitted to the HOA (in person, via email, or via mail). Please be advised that the violation / complaint must fall under the community rules and / or covenants and all sections must be completed for the HOA to respond. This policy streamlines HOA meetings and helps the HOA follow-up on complaints more effectively. Completed forms can be brought to meetings, emailed to our community manager, or mailed to P.O. Box 2580, Winchester, VA 22604 .

Trash Pickup and recycling

Regular trash pick up is provided by the Town of Purcellville on Wednesdays. Please put out your trash late Tuesday night or early Wednesday to assure it is being collected.  Remember to secure your trash and do not overfill your can as the wind tends to blow loose trash around the neighborhood easily.

LAWN CARE & LANDSCAPING

Lawn care is provided by Mulvaney Property Management – MPM will mow homeowners lawns and all common areas. If you have concerns about their service, please contact your community manager. Fronts of the homes need to be maintained by the owners in regard to mulching and removing weeds from the front beds.  This is not included in the contract with our landscapers. Please take the time to maintain your front areas.  When adding mulch it must match existing mulch in color and type. If you have any concerns about their service, please contact your Community Manager.

Snow Removal

Snow removal is provided by a private contractor. Streets and common area sidewalks are included in the snow removal. If you have any concerns about their service, please contact your Community Manager.

Deed of Dedication and Bylaws

All HOA’s are governed by a Deed of Dedication, Bylaws and other supporting documents. These are legal and binding documents.  They provide an explanation of the rules and regulations that the homeowners agree to adhere to upon purchasing their home.

Your Association’s budget and meeting minutes are for HOA members only. Log in to your Owner Access Portal to obtain these documents.

Virginia Property Owners Complaint Resolution Process

Pursuant to Virginia state law, all homeowners associations must maintain a system to respond to complaints directed to the HOA. A complaint form which includes an explanation of the complaint process can be found here. If after following this procedure, you are still unsatisfied, you must appeal to the state Common Interest Community Board.

Change of Address

 Please notify Coventry Group if you relocate but do not sell your home. You can update your information through your Owner Access Portal or you can Contact Us. This assures that you will receive all pertinent information relating to the HOA.
